If you sign up for a free resource: we collect your first name and email address. We do not collect payment information or sensitive personal data through our opt-in forms.
If you become a coaching client: we collect the information you provide on our client intake form, which may include your name, date of birth, contact details, emergency contact, and information about your health (including anything relevant to receiving Reiki or coaching safely, such as pregnancy or a seizure condition). We also record live coaching sessions held via Zoom (video and audio) and generate written transcripts using an AI transcription tool.
For free resources, we use your data to deliver the resource you requested, send you occasional emails with wellbeing reflections and information about our services, and improve our communications.
For coaching clients, we use your data to deliver coaching and Reiki safely and appropriately, to keep a record of sessions for your benefit and ours, and to maintain continuity of care across a programme.
For free resources and marketing emails, we process your data on the basis of consent, given when you submit your details and agree to receive emails. You can withdraw this consent at any time by unsubscribing.
For coaching clients, we process general contact information on the basis of contract (to deliver the service you've booked). Health-related information shared on your intake form or during sessions is special category data, and we process this on the basis of your explicit consent, given when you complete the intake form and confirm you wish to proceed.
Your data is stored securely within our CRM platform (GoHighLevel) and email marketing platform, on secure, GDPR-compliant servers. Session recordings and AI-generated transcripts for coaching clients are stored securely within the WeHarmonise client portal (hosted on GoHighLevel) and are accessible only to you and WeHarmonise.
We do not sell, rent, or share your personal data with third parties for marketing purposes. Zoom, GoHighLevel, and our AI transcription provider act as data processors on our instructions and are only used to deliver and record your sessions.
We retain marketing data for as long as you remain subscribed, and coaching client data (including recordings and transcripts) for [retention period, e.g. the duration of the programme plus 12 months]. If you unsubscribe or request deletion, your data will be removed within 30 days, unless we are required to retain it for a longer period by law or professional insurance requirements.
You have the right to access, correct, or request deletion of your personal data, withdraw consent at any time (by unsubscribing from emails, or by contacting us directly regarding coaching data), and lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
